Where a car rental company loses its money

  1. The problem: A tourist asks on Instagram at 00:30 for a Lamborghini tomorrow. Your sales team sees it at 10, after he has rented from whoever answered first.

    What we do: The assistant answers in seconds with the price, the deposit, the kilometres and the documents, checks the car is free and books it with the delivery time and place.

  2. The problem: Deliveries are arranged by phone between sales and the drivers. A car reaches the hotel an hour late, or nobody remembers the child seat.

    What we do: Every delivery and collection is on one board with its time, place, car, driver and extras. The driver sees his jobs in the app, and the renter gets the driver's name and the time he will arrive.

  3. The problem: Licences and passports arrive as blurred photos in a driver's WhatsApp, and at the hotel he finds that the licence has expired.

    What we do: The documents are collected in the chat before delivery and read into the renter's record with their expiry dates. The booking shows what is still missing.

  4. The problem: A car comes back with a scratch, and the renter says it was already there. The delivery photos are in somebody's phone, or nowhere.

    What we do: Every handover is photographed and filmed in the app, with the time, the fuel and the kilometres, and signed by the renter. The return is shown side by side with the delivery.

  5. The problem: Salik and fines arrive weeks after the car is back. The deposit is released too early, or it sits on the card while the renter asks about it every day.

    What we do: Each rental carries its deposit hold and the day your rules allow its release. Your team is reminded to do the Salik and fines check, the charges go to the renter with the lines behind them, and the rest of the hold is released.

  6. The problem: A monthly renter hands the car back at the end of his month, because nobody asked whether he wanted another one.

    What we do: A week before his month ends, the assistant asks whether he is staying, offers the next month or a different car, and sends the payment link.

A Lamborghini at 00:30

A tourist writes on Instagram: he wants a Lamborghini Urus from tomorrow for three days, delivered to his hotel on the Palm.

  1. The assistant answers in seconds: the price for three days, the deposit, the kilometres included and what the insurance covers.
  2. It checks the Urus is free on those dates, and asks his age, where his licence is from and what time he wants the car.
  3. It asks for photos of his licence and of his passport with the entry stamp, and an international driving permit if your rules ask for one, and reads them into the booking.
  4. It sends a payment link for the rental and the deposit hold. Once he pays, the delivery is on your board for 11:00.
  5. In the morning your driver gets the job in his app, and the renter gets the driver's name and the time he will arrive.

What changesThe car is booked, paid and secured while your sales team sleeps.

A delivery to the hotel

A G-Class goes to a guest at a hotel in Downtown at 10:00.

  1. The driver opens the job in the app: the renter, the car, the extras and what is already paid.
  2. Before he hands over the keys, he walks round the car filming it, and photographs the wheels, the fuel and the kilometres.
  3. He checks the original licence and passport against the photos in the booking, and the renter signs on the phone.
  4. The renter gets the handover photos in his chat, with your rules for Salik, fines, fuel and the daily kilometres.

What changesThe car leaves with a record both sides have seen, and there is nothing to argue about at the return.

The car comes back

A Range Rover Sport comes back after a week, 300 km over its limit and with a new scratch on the rear bumper.

  1. The driver photographs it the same way, and the app shows the return beside the delivery: the scratch, the fuel and the kilometres.
  2. The extra kilometres are priced at your rate, and the scratch goes to your team with both sets of photos.
  3. The deposit stays held, and the booking shows the day your Salik and fines check is due.
  4. On that day your team is reminded, records what it found, and the renter gets the charges with the lines behind them.
  5. The rest of the hold is released, and the renter is told.

What changesNothing is released before the check, nothing is held longer than your rules say, and the renter sees why.

A monthly renter

A resident has rented a Nissan Patrol by the month since spring, and his month ends on the 20th.

  1. A week before the 20th the assistant asks whether he is keeping the car for another month.
  2. He asks for something smaller. It offers the cars free from the 20th, with their monthly prices.
  3. He picks one and pays by card, or splits it with Tabby where you offer it.
  4. The swap is on the delivery board: the new car goes out and the Patrol comes back in one trip, both photographed.
  5. The Patrol's service is booked on the fleet calendar before it goes out again.

What changesMonthly renters stay with you, and swaps and services are planned, not discovered.

Before the high season

December is coming. The Rolls-Royce and the Urus are booked every day, and two convertibles have stood idle all week.

  1. The weekly report shows which cars earn and which stand idle.
  2. One button turns each idle car's photos into a short video with its price, checked by a person and ready for Instagram and TikTok.
  3. A weekend offer for those cars goes on WhatsApp to past renters who agreed to hear from you.
  4. Every reply lands in the list, and the assistant books the car straight into the fleet calendar.

What car rental owners ask us

Can the assistant offer a car that is already rented?
No. It checks the fleet calendar before it offers a car, and books it there. A car in service, or one you have blocked, is not offered.
Can the deposit be held on the card?
Yes, through your payment gateway: the deposit is held as a pre-authorisation, and after the check your team releases it or charges from it. How long a hold can stay on a card depends on the gateway and the card, and we set your rules around it.
How does it handle the renters' documents?
The renter sends photos in the chat. The assistant reads the licence, the passport with its entry stamp or the Emirates ID into his record with their expiry dates, and asks for whatever your rules say is missing. Your driver checks the originals at delivery.
Can Salik and fines come in by themselves?
Where your Salik account, your source of fines or your trackers offer an export or an API, we bring them into each rental. Where they do not, your team adds them to the rental in a few clicks, and the renter gets them with the lines behind them.
Who owns the data?
You do. Your content and your customers' data are yours, and we export them on request in standard formats.
